Terms of Service

Last updated: 24 October 2026

These terms describe what SiteMinutes AI does, what you can expect from it, and what we expect from you when you use it.

The service

SiteMinutes AI records meetings, transcribes meeting audio, and generates Minutes of Meeting, action items, technical issue logs and decision records from the material you provide. Generated documents are drafts prepared for your review.

Your account

You are responsible for the accuracy of your account details and for keeping your sign-in credentials secure. Activity performed through your account is treated as yours.

Records you file under a project can be read by the members of that project team, so only share a project with people who should see its meetings.

Recording and content

You keep ownership of the meeting content you add. You are responsible for having the right to record a meeting and to upload its content, including any consent required from the people present.

Do not use the service to store unlawful material, or material you do not have the right to share with the people who can access the project.

Plans, billing and cancellation

Paid plans are billed monthly in US dollars (USD) through the payment provider, and the limits of each plan are enforced on the server. The limits that apply to a plan are the ones shown on the pricing screen when you subscribe.

Cancelling stops the next renewal; you keep paid access until the end of the period you already paid for. Upgrades take effect as soon as the payment is confirmed. Failed payments may suspend the features that depend on them.

AI-generated output

Minutes, summaries, decisions and action items are generated from the material you provide and can contain mistakes or omissions. Review every generated section against the source before you save, send or rely on it — anything the source does not state is marked To Be Confirmed rather than assumed.

Availability and changes

Features can be added, improved or withdrawn, and the service may be unavailable during maintenance. Where a change materially affects your plan, it applies from your next billing period.

Ending your use

You can stop using the service and delete your account from Settings at any time. Deleting your account removes your account and the records that belong to it.
