Privacy Policy

This policy explains, in plain language, what SiteMinutes AI stores, why it stores it, and what control you have over it.

What we collect

We collect what the service needs to produce meeting records for you:

  • Account details — your name and email address, and the role your account holds.
  • Meeting content you create — projects, meetings, Minutes of Meeting, action items, technical issues, decisions and approvals.
  • Audio you choose to record or upload, the transcript produced from it, and the size and length of the recording.
  • Subscription and usage records — your plan, its status, renewals and how many generations, minutes and exports you have used.
  • Basic technical information needed to run and protect the service, such as error logs and request information.

How we use it

Your content is used to run the product for you: storing your records, transcribing a recording when you ask for it, drafting minutes from the source material you provide, and enforcing the limits of your plan.

We do not sell your data and we do not use your meetings to advertise to you.

Where it is stored

Your records are stored in this application’s database, and audio recordings are stored in private file storage. Audio is not publicly reachable: it is opened through signed links issued to you, and access follows the project team the recording is filed under.

Service providers

A few external services are used to deliver specific actions you request, and only the content needed for that action is sent:

  • The speech-to-text service, which receives a recording when you press Transcribe.
  • The AI model service, which receives your source material (transcript, notes or audio-derived text) when you generate Minutes of Meeting.
  • The payment provider, which processes subscription payments. Card details are entered on the provider’s own secure checkout and are never stored in this application.

Keeping and deleting your data

Your records stay until you remove them. Deleting a recording removes the audio, its transcript and every link to it immediately, so nobody can open, play or download it again. Minutes already generated from a recording stay in the project record until you delete them.

You can delete your account from Settings inside the app, which removes your account and the records that belong to it.

Recording responsibly

You decide what to record. Recording a meeting may require the consent of the people present, and some jurisdictions require everyone to agree. Let participants know before you start, and only record where you are permitted to.

Your choices and questions

You control the meeting content you add, you can edit or delete it at any time, and you can export your Minutes of Meeting whenever you need them.

If you have a question about your data, or want help removing something, use the support form inside the app and we will answer on your account.
